Privacy Policy
Last updated 2026-10-16
1. Introduction
This Privacy Policy (“Policy”) describes how Idalia Technology Pty. Ltd. (“Idalia Technology,” “Company,” “we,” “our,” or “us”) collects, uses, and shares personal information of business clients and users of our enterprise SaaS platform and related services (collectively, the “Services”). The Services include:
- our website at https://idalia.app (the “Site”);
- our web application at https://idalia.app; and
- our iOS mobile application (the “App”).
This Policy applies to all personal information we collect through our Site, App, software products, and Services, as well as to personal information you provide directly to us through customer engagement, onboarding, or support interactions.
By using our Site, App, or Services, you agree to the collection, use, disclosure, and handling of your personal information as described in this Policy, consistent with the Australian Privacy Principles (APPs) and the Privacy Act 1988 (Cth).
If you do not agree with the terms of this Policy, please do not use the Site, App, or Services.
2. Personal Information We Collect
We collect personal information in several ways to provide and improve our Services. The information we collect depends on how you use our products and how you interact with us.
a. Information You Provide to Us
- Identity and contact details — e.g., name, email address, company name, and business contact information.
- Account credentials — usernames, passwords, and authentication data.
- Billing and payment information — business billing addresses and payment transaction data.
- User content — data, files, or materials you upload into the Service, including photos and videos you capture with the camera or attach from your photo library, and audio that is part of a video you record.
- Location data — precise GPS coordinates when you allow location access (see Device Permissions below).
- Customer communications — feedback, support requests, and inquiries you provide.
- Professional information — your role, department, and company affiliation.
b. Device Permissions (iOS App)
The App may request permission to access device features. We collect this information only after you grant permission, and only for the stated purpose. You can refuse or later withdraw permission in iOS Settings. If you refuse, related features may not work.
- Location (GPS) — We use your current location while the App is in use to tag form submissions with coordinates, fill location fields, and show your current point on a map. We ask when you tap a location control, or we show a short in-app reason first (for example, when a form records GPS on submit). We share coordinates with our map and geocoding provider (Mapbox) when you use those features. We do not collect location in the background.
- Camera — We use the camera so you can capture and attach photos and videos to comments, forms, and other records.
- Photos — On iOS we use the system photo picker so you can choose photos and videos to attach to comments, forms, and other records. That picker does not require full photo library access. We upload a photo or video only after you attach it.
- Microphone — We use the microphone so you can record video for comments and other records. We do not use the microphone for speech recognition or dictation.
c. Information Collected Automatically
- Device and connection information (e.g., IP address, browser or App type and version, device model, and operating system).
- Usage data (e.g., pages or screens visited, timestamps, and session activity).
- Referring websites or applications.
- Diagnostic data, including crash reports, performance traces, and logs (see Sentry below).
- Information collected through cookies and similar technologies on the Site for analytics, functionality, and security.
We use cookies on the Site to improve your experience, system performance, and feature reliability. You can control cookie usage through your browser settings.
d. Information from Third Parties
- Integration partners and authentication providers (including Apple on iOS, where you choose Sign in with Apple).
- Map and geocoding providers (Mapbox), which return place names, addresses, and map tiles based on your search or location.
- Public databases or professional networking services.
- Payment processors or resellers that facilitate access to our Services.
3. How We Use Your Personal Information

4. How We Share Your Personal Information
We may disclose your personal information to trusted third parties who assist us in providing and maintaining our Services.
a. Affiliates and Subsidiaries
Entities under common ownership or control that support global operations.
b. Third-Party Service Providers
Vendors who process personal data on our behalf to deliver infrastructure, maps, diagnostics, analytics, and secure hosting. These include, without limitation:
- cloud hosting providers (e.g., AWS, Microsoft Azure, Google Cloud);
- Mapbox — map display, search, and geocoding. When you search for a place, view a map, or use location features, Mapbox may receive search text, coordinates, IP address, and device or browser information. Mapbox processes this data under its own privacy policy: https://www.mapbox.com/legal/privacy;
- Sentry — error monitoring, performance tracing, and diagnostic logs (see below).
Diagnostics (Sentry)
We use Sentry on the Site and the App to diagnose failures and improve reliability. We send crash reports, performance traces, and diagnostic logs. Those events may include device and app information and, when needed to reproduce a failure, technical identifiers such as a user ID or workspace ID.
We do not record session replay. We do not use Sentry for advertising or to sell your information. We configure Sentry so it does not attach its default set of extra personal details (for example, we do not enable Sentry’s default PII capture).
Sentry processes this data as our service provider. Its privacy policy is at https://sentry.io/privacy/. You may contact us at privacy@idalia.app to ask about diagnostic data associated with your account.
c. Professional Advisors
Lawyers, accountants, and auditors engaged for compliance and advisory services.
d. Business Transfers
If Idalia Technology undergoes a merger, acquisition, or sale, personal information may be transferred as part of the transaction.
e. Legal and Regulatory Disclosures
We may disclose information to comply with legal obligations or to protect our rights, property, or users.
f. With Your Consent
We may share your data with third parties when you provide explicit permission.
We do not sell your personal information.
5. Your Choices and Rights
Under the Privacy Act 1988 (Cth) and other applicable laws, you have rights regarding your personal information, including to:
- Request access to and correction of your data.
- Request deletion, where legally permissible.
- Opt-out of marketing communications at any time by following the unsubscribe link in an email or contacting us at privacy@idalia.app.
- Manage or restrict cookies via your browser settings.
- Control App permissions (location, camera, photos, and microphone) in iOS Settings. If you disable a permission, we stop collecting that data from the device, except data already stored in your account records (for example, a location tag or a photo or video you already submitted).
We will respond to valid privacy requests within a reasonable timeframe in accordance with applicable laws.
6. Security of Your Personal Information
We implement appropriate administrative, technical, and physical safeguards to protect your personal data. However, no online transmission or storage system is entirely secure.
7. International Data Transfers
Your information may be transferred and processed in countries outside Australia where our service providers operate (such as the United States, Singapore, or the European Union).
We ensure all transfers comply with applicable data protection standards, including contractual safeguards.
8. Children’s Privacy
The Site, App, and Services are intended for business professionals and are not directed to children under the age of 13.
We do not knowingly collect data from children. If you believe we have collected such data, please contact us immediately.
9. Do Not Track
Our website does not currently respond to Do Not Track (DNT) browser settings.
You can learn more about DNT at https://www.allaboutdnt.com.
10. Changes to This Privacy Policy
We may update this Policy from time to time. Updates will be posted on our website with a revised “Last Updated” date.
